Buyer guide
Best AI receptionist for medical practices (2027)
In an emergency, call 911 or your local emergency number. An AI receptionist is not for emergencies, and nothing on this page is medical advice.
This shortlist is for a practice manager, administrator or physician owner at a medical office or clinic choosing an AI receptionist to answer patient calls, book and move appointments and pass urgent calls to staff. It covers the 16 vendors tagged Medical Offices in our directory whose own websites have a page aimed at medical practices (or healthcare), which we found and read on 31 October 2026. A vendor missing from this list may still serve medical practices; it just had no such page for us to check. Each quick pick is chosen by a fixed rule, never by opinion, and there is no overall winner. Picks are never paid, and sponsorship does not change them.
How we picked
Every medical claim on this page is quoted from the vendor's own website, read on 31 October 2026: what it says about booking, the EHR or practice system it names, urgent calls, a Business Associate Agreement (BAA) and SOC 2. Where a page does not say something, we write "Not stated on the pages we read", which is not the same as "not offered". A BAA or SOC 2 line is the vendor's claim. We have not seen a signed agreement or an audit report, and we do not certify anyone's HIPAA compliance. Prices and trials for the quick picks come from each pick's record in our directory, and we checked each against the vendor's own pricing page on 31 October 2026.
A pick has to say on its own site that it signs a BAA, either included in the plan or on request. Vendors marked outbound only and vendors that have not launched are not picks. The rules run in the order below. A vendor already picked by an earlier rule is skipped, so every pick is a different vendor.
- Signed BAA included in the plan. The vendor's medical page says a signed BAA is included with every plan or account, not only on request. A vendor already picked on our dentist, chiropractor, physical therapy or accounting guides comes after every other qualifier. Then the lowest published US-dollar monthly start wins, and a record with no comparable start comes after every priced one; ties go A to Z.
- Books into your EHR or practice system. The vendor's medical page says it books, reschedules or cancels in your EHR or practice management system as part of the plan, not as a paid add-on. A vendor already picked on our dentist, chiropractor, physical therapy or accounting guides comes after every other qualifier. Then the lowest published US-dollar monthly start wins, and a record with no comparable start comes after every priced one; ties go A to Z.
- Emergency callers sent to emergency services. The vendor's medical page says callers with an emergency are told to call 911 or sent to emergency services. A vendor already picked on our dentist, chiropractor, physical therapy or accounting guides comes after every other qualifier. Then the lowest published US-dollar monthly start wins, and a record with no comparable start comes after every priced one; ties go A to Z.
- Try it without a card. The vendor's record shows a free trial or free plan that asks for no card, checked against its pricing page. A vendor already picked on our dentist, chiropractor, physical therapy or accounting guides comes after every other qualifier. Then the lowest published US-dollar monthly start wins, and a record with no comparable start comes after every priced one; ties go A to Z.
- SOC 2 named on its own site. A vendor page names SOC 2. A vendor already picked on our dentist, chiropractor, physical therapy or accounting guides comes after every other qualifier. Then the lowest published US-dollar monthly start wins, and a record with no comparable start comes after every priced one; ties go A to Z.
These are vendor claims, not call-quality ratings. Read our methodology.

Every vendor with a medical page
All 16 vendors, A to Z, each with a link to the medical page we read. Each column quotes the vendor's own words; a quote from a page other than the medical page links to its source. A vendor that does not say it signs a BAA, or says a BAA comes with certain plans only, is in this table but cannot be a pick. This table has no prices: only the picks' prices were checked this time, and each vendor page shows its own price with the date we last checked it.

Urgent calls, booking and BAAs: what to check on the demo
An AI receptionist does not triage symptoms or give clinical advice, and none of these vendors should be asked to. What matters is where an urgent call goes. What the quick picks say about it, in their own words:
- BuzzWisely: "Routes symptom calls to the nurse advice line, billing questions to billing, and prescription refills to pharmacy ops. Emergent symptoms (chest pain, stroke signs) get explicit '911' instruction with confirmation."
- Newo.ai: "A call that needs a person goes to one, and the patient is told before it happens rather than after a silence."
- TelAI: "It captures the caller, flags urgency to your team immediately, and points genuine life-threatening situations to 911".
- CloudTalk AI Receptionist: "It recognizes the words your practice tells it to treat as urgent, opens with an instruction to hang up and dial 911 in a life-threatening emergency, and routes everything else by your rules."
- PolyAI: "Recognize urgent and distressed callers and route them to the right care team immediately, with no phone tree in the way."
On the demo, call in three times. First as a new patient asking for a visit: check that it books the right provider and visit length into your real schedule, and that the booking lands in your EHR rather than an email for staff to key in. Second as an existing patient who needs to move a visit. Third as a caller who says something is wrong right now: it should send that caller to 911 or your emergency wording and reach a person at the practice, not try to help. Then ask for the BAA before any patient call goes live, and ask where recordings and transcripts are stored and who can see them. Your own privacy obligations still apply when the receptionist is software.

FAQ
What is the best AI receptionist for a medical practice?
It depends on the job, so this page has no single winner. By our published rules the picks are BuzzWisely (signed BAA included in the plan), Newo.ai (books into your EHR or practice system), TelAI (emergency callers sent to emergency services), CloudTalk AI Receptionist (try it without a card) and PolyAI (SOC 2 named on its own site). Each rule is listed above, and each pick should still take a test call from a new patient and one from a caller with an urgent problem before you choose.
How much does an AI receptionist for a medical practice cost?
Each pick's published start is in the quick picks table above, checked against the vendor's own pricing page on 31 October 2026. Several vendors sell larger plans for more locations or more minutes, and some do not publish a price at all, so ask for the plan that includes your BAA and your EHR connection. See the pricing report for wider context.
Does an AI receptionist work with my EHR?
8 vendors say on their medical page that the receptionist books, reschedules or cancels in your EHR or practice management system: BuzzWisely, EliseAI, Medreception AI, Newo.ai, PolyAI, Prosper AI, Synvola and Trillet. 9 name specific systems: BuzzWisely (Epic, Athena, eClinicalWorks, Cerner, NextGen, Practice Fusion), FrontDesk (frontdesk.care) (athenahealth, Epic MyChart, Practice Fusion), GreetKeeper (Epic, Athenahealth), Greetmate (Athenahealth, Canvas Medical, DrChrono, Elation, Healthie, ModMed, Tebra (Kareo), AdvancedMD, Epic Systems, Cliniko, Nextech), Medreception AI (eClinicalWorks, athenahealth), PolyAI (Epic, athenahealth, ModMed, NexHealth, Raintree, Brightree), SwaraOS (athenahealth), Synvola (Epic, Cerner, athenahealth, DrChrono, eClinicalWorks, NextGen) and Trillet (ModMed, Epic, Oracle Health, athenahealth, eClinicalWorks, NextGen, Veradigm, Tebra, DrChrono, Greenway Health). TelAI offers EHR booking as a paid add-on, so it is not counted here. These are vendor claims, so ask for a test booking that lands in your own system, and ask what it does when the EHR is down.
Will an AI receptionist sign a BAA?
Only some say so. Included with the plan: BuzzWisely, FrontDesk (frontdesk.care), Medreception AI and Synvola. Will sign one on request: CloudTalk AI Receptionist, Newo.ai, PolyAI and TelAI. BAA tied to certain plans: Trillet says "HIPAA mode is available on Studio, Agency and Enterprise, with a Business Associate Agreement (BAA) on Agency and Enterprise.". Vendors that say they are not HIPAA compliant yet or make no HIPAA claim (their words are in the table): GreetKeeper, Sarah 24/7 and SwaraOS. Pages we read that do not mention a BAA at all: EliseAI, Greetmate, Marlie and Prosper AI. Each of these is the vendor's claim, not our verification. If a vendor will handle patient information, get the signed agreement before go-live.
Can an AI receptionist handle urgent or emergency calls?
It can pass them on, but it cannot decide what is an emergency, and it is not for emergencies. If you or a patient has a medical emergency, call 911 or your local emergency number. 6 vendors say on their medical page that callers with an emergency are sent to emergency services: BuzzWisely says "Routes symptom calls to the nurse advice line, billing questions to billing, and prescription refills to pharmacy ops. Emergent symptoms (chest pain, stroke signs) get explicit '911' instruction with confirmation."; CloudTalk AI Receptionist says "It recognizes the words your practice tells it to treat as urgent, opens with an instruction to hang up and dial 911 in a life-threatening emergency, and routes everything else by your rules."; GreetKeeper says "You write what a caller hears if they mention chest pain or trouble breathing, usually a direction to call 911."; Sarah 24/7 says "If a call sounds like an emergency, she follows the escalation script you wrote, which for most practices means directing the caller to emergency services or your on-call line."; TelAI says "It captures the caller, flags urgency to your team immediately, and points genuine life-threatening situations to 911"; Trillet says "Medical emergencies are never triaged by the AI. Callers are directed to emergency services and escalated to your on-call staff immediately.". For every other vendor the page we read does not say that, so ask what a caller hears.
Is an AI receptionist secure enough for patient information?
5 vendors name SOC 2 on their own site: CloudTalk AI Receptionist says "99.999% uptime, GDPR, ISO 27001, SOC 2 and CCPA."; Newo.ai says "SOC 2 Type 1 complete."; PolyAI says "calls are processed under SOC 2 Type II, ISO 27001, PCI DSS, and GDPR controls"; Synvola says "Independent third-party audits verify that our security controls meet SOC 2 standards for availability, confidentiality, and processing integrity."; Trillet says "SOC 2 Type II and ISO 27001 certifications are in place, with full audit logs". A SOC 2 claim on a web page is not the report itself, so ask for the report under NDA, and ask where call recordings and transcripts are kept and how long. No vendor on this page is certified by us.
